Privacy Policy

Effective Date: February 25, 2026 · Updated: August 18, 2026

KBF Design Gallery, LLC

901 N. Fern Creek Ave, Orlando, FL 32803

1. Overview

This Privacy Policy describes how KBF Design Gallery, LLC (“KBF,” “we,” “us,” or “our”) collects, uses, and protects information accessed through our internal financial management tools that integrate with QuickBooks Online, including the WIP and CashFlow Forecaster and ATLAS Production Sync (each, “the Application”). The Applications are used exclusively by KBF for internal business operations and are not offered to the public.

2. Information We Access

Through our integration with QuickBooks Online, the Applications access the following types of financial data from our own QuickBooks Online company account:

Customer names and contact information associated with our projects; invoices, payments, and billing records; vendor bills and expense transactions; accounts receivable and accounts payable aging data; and profit and loss reports summarized by customer.

3. How We Use Information

All data accessed through the Applications is used solely for KBF’s internal business purposes, including: cash flow forecasting, project cost tracking, gross margin analysis, accounts receivable and payable management, and financial reporting.

4. Data Storage and Security

Financial data retrieved from QuickBooks Online is stored on KBF-controlled systems and on cloud infrastructure that KBF contracts and controls (currently hosted with Railway, in the United States). We implement reasonable security measures to protect this data, including storage on access-restricted systems with encryption at rest provided by our hosting and file-storage infrastructure, and access limited to authorized KBF personnel. OAuth 2.0 authentication tokens are held only on those access-restricted systems, are never exposed to end users or transmitted to any third party, and are rotated automatically.

5. Data Sharing

We do not sell, rent, license, or otherwise share any data accessed through the Applications with any third parties. Our cloud hosting provider processes data solely on KBF’s behalf as infrastructure; it receives no rights to use the data. All data remains within systems KBF controls, for our exclusive business use.

6. Data Retention

Financial data is retained for as long as it is needed for KBF’s business operations and in accordance with applicable record-keeping requirements. Data may be deleted upon request or when no longer required for business purposes.

7. Third-Party Services

The Applications connect to Intuit’s QuickBooks Online API to retrieve financial data. Intuit’s use of data is governed by Intuit’s own privacy policy. Aside from Intuit and our cloud hosting infrastructure, no other third-party services receive data from the Applications.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected by updating the effective date above.
